What does the ATS check look at?
Can the text be read at all?
We extract the text the way parsing software does. A resume saved as an image, or with text in boxes and tables, comes back with gaps. You see exactly what was read.
Are the sections where software expects them?

How does applicant tracking software read a resume?
It does not look at your resume. It extracts the text, then tries to sort that text into fields: name, contact details, each job with its title, employer and dates, education, skills. The sorting relies on cues a human takes for granted: a heading that says “Experience”, dates next to a job title, one line after another in reading order.
Two-column layouts read across the columns, so a skills sidebar ends up spliced into the middle of a job description. Text inside tables, text boxes and header graphics is often skipped entirely. A resume exported as an image has no text to extract at all. The checker runs the same extraction and shows you the result, so there is no guessing.
What are the most common ATS problems in VA resumes?
- Canva designs exported as a flattened image inside a PDF. Nothing extracts.
- Two columns with skills and contact details in a sidebar. Fields get mixed.
- Creative headings such as “My journey” or “What I bring”. The parser cannot map them.
- Tools written only as abbreviations or brand nicknames. The keyword search misses them.
- Contact details in the page header, which many parsers ignore.
- Dates in inconsistent formats, so the software cannot compute years of experience.
How do I fix an ATS problem without losing my design?
Keep two versions. A single-column version for portals and any application form with an upload button, and a designed version for email and direct applications. The improved resume gives you both from the same content: pick an ATS-safe template for the portal file, and a photo template for the version you attach to an email. Switching is free while your window is open, and the content is identical, so nothing gets out of sync.
Is passing the ATS enough?
No. Passing means a person gets to read your resume. What they read still has to show results, tools and scope in a few seconds. That is why the checker scores four more areas alongside ATS compatibility and why the rewrite works on wording, not only formatting. How do I read my ATS result?
The result lists issues by area, each with the line or section it refers to. The ATS-related ones fall into four groups:
- Extraction gaps. Text we could not read, or read out of order. Usually a two-column layout, a table or an exported image. Fix: single column, real text.
- Section mapping. A heading the parser cannot place, or experience without dates. Fix: standard headings, a date on every role, consistent format.
- Keyword coverage. Tools and skills expected for the role that appear nowhere, or only as abbreviations. Fix: write them out where you genuinely used them.
- Contact block. Email, phone or location missing from the top, or sitting in a header the parser skips. Fix: plain text under your name.
The improved resume resolves the first, second and fourth group by construction. The third one it resolves only with facts from your own resume.
ATS-safe formatting checklist
- One column. Sidebars only on the version you email to a person.
- Standard headings: Summary, Experience, Education, Skills, Certifications.
- Job title, employer and dates on every role, in the same date format throughout.
- Real text, never an exported image. Check by selecting text in your PDF viewer.
- Tools and skills written in full: “Google Workspace”, not “GSuite”; “QuickBooks Online”, not “QBO”.
- Contact details as text under your name, not in the page header.
- Common fonts, 10 to 12 point body text, no text boxes, no icons standing in for words.
- File name with your name and the role, for example maria-santos-executive-va.pdf.
PDF or DOCX for applicant tracking systems?

How do I know which keywords a VA role expects?
Take them from the posting, not from a generic list. Every tool, platform and task named in the job description is a keyword the screener will search for. Do photos, colours and icons hurt an ATS score?
The photo and the colour do not; the layout that usually comes with them does. A coloured heading on a single-column page parses fine. A photo in a sidebar next to a skills list does not, because the parser reads across the columns. Icons in place of the words “email” and “phone” leave the parser with a symbol it cannot label. That is why our photo templates are marked for direct applications and the six single-column templates carry the ATS-safe label.
Is this the same software employers use?
No single tool is. Employers use dozens of different systems, and they do not publish how they parse. What they share is the method: extract text, map sections, match keywords. The checker runs that same method on your file and shows you the outcome, which is the closest honest answer to “will it get through” that any checker can give. It cannot promise a result on one specific portal, and any tool that does is guessing.

Does a high ATS score mean I will get the interview?

My resume was made in Canva. Will the checker read it?
If Canva exported it as a PDF with real text, yes. If the text is flattened into an image, the checker reports that nothing could be extracted, which is exactly what an employer's system would see. Export as text, or rebuild it from the improved version.
How often should I re-check my resume?
After any real change: a new role, a new tool, a new certification. Uploading the edited file gives you a fresh score. If you edit inside the improved resume, the Re-score button does the same without a new upload.
Does the checker keep a copy of my resume?
Your upload is stored privately in your account so you can revisit the score and the improved version. It is not shared with employers unless you set the improved resume as your profile resume.
